      • Venue location research and sourcing in terms of the client requirements and compilation of venue proposal
      • Assisting the client on conference format suggestions including themes
      • Budget Compilation.
      • Marketing Plan Compilation and Management
      • Public Relations Strategy Planning and Management
      • Direct and Indirect Sales Strategy Planning and Management
    • Co-ordination of contract negotiation between venue and the client, including
      • Pricing and rate negotiation with potential venues and suppliers
      • Observation of Booking deadlines and communication thereof
      • Observation of Cancellation requirements and communication thereof
      • Observation of payment arrangements including deposits and communication thereof
    • Management and monitoring of contractual requirements between venue and the client, including
      • Attendance estimation
      • Negotiation with the selected hotel on management of the room estimates, block booking etc.
      • Booking deadlines
      • Cancellation deadlines
    • Conference entertainment management and audio service provision including
      • Sourcing, presenting and procurement of agreed service providers with consent of the client
      • Co-ordination of contract negotiation between provider and the client, including pricing, timing and cancellation clauses
      • Contract management including logistical arrangements as required by the service provider.
      • Sourcing and procurement (including pricing and branding) of conference handouts for delegates.
    • Travel and logistics; pre, during and post conference as required
      • Flight Itineraries and other travel requirements.
      • Hotel bookings etc.
    • Delegate pre, during and post conference co-ordination and management
      • Collation of delegate registrations and database compilation
      • Compilation of delegate registration confirmations and distribution to the delegates.
      • Managing banqueting issues and requirements with venues including delegate numbers and dietary requirements
      • Management and co-ordination of delegate transfers where required
      • Compilation and management of a function sheet / blow-by-blow document which outlines all activities, banqueting numbers and responsibilities for distribution to all key the client staff and Key Supplier Staff, which is updated regularly.
      • Regular meetings to discuss, resolve and co-ordinate issues
    • Compilation of final delegate lists and other communication for distribution to the delegates prior to their arrival at the event.
    • Design and produce Delegate Name Badges for registration
    • Senior Co-ordinator on site continuously manage all areas of the event in the following areas
      • Banqueting numbers andamp; requirements
      • Delegate Registration
      • Rooming list management where necessary
      • Delegate transfers where necessary
      • Meeting room management
      • Venue office management if required
      • Entertainment, dand#233;cor and branding where necessary
      • Special events and activities where necessary
    • Budget management
      • Monitoring of expenses including food and beverage bills against agreed guidelines and budgets in agreement with senior the client staff on site
      • Reconciliation of account including allocation and authentication of all bills
    • Overall conference co-ordination with the client to resolve issues effectively and expeditiously, before and during conference.
    • Hiring out of PA Systems for small, medium and large events, to a maximum size of 1000 guests
    • Hiring out of Data Projectors and screens
    • Videoing presenters for simultaneous projection onto screens
    • Video Recording of proceedings
    • Karaoke Hire for fun evenings
    • Event Management Insurance will be taken where necessary and will be included in the budget for the event applicable to cover any incidents that may require liability cover by Gooseberry Event Services as the contracted event management company.
